The hotel booking system manages the day-to-day running of your business. Functionality includes room booking, venue booking, production of management reports and customer invoicing requirements. Bookings can be made online and offline.

System Configuration

  • Add, view and edit unlimited room types, rooms, venues, pricing seasons and room rates.
  • Add, view and edit system user access accounts.
  • Charge by per room or by per person.
  • Specify the booking ref format to be used on all room bookings.
  • Charge tax on either rooms or services or both.
  • Add bank holiday dates to the system. These dates are highlighted in red on the booking calendar.

 

Room Booking

  • Display available rooms.
  • Add, view and edit customer details.
  • Add, view and edit bookings.
  • Graphical view of bookings and booking status for this week, next week and so on into the future.
  • Booking information - Showing current booking status as well as arrive/leave dates and total rent due.
  • Booking status - Set up to 9 different booking status's, each with a different colour.
  • Stay types - Record the customer’s type of stay i.e. holiday, weekend saver, promotion. This helps with your marketing effort.
  • View, print or email invoices as well as the ability to transfer them to Microsoft Word, Open Office and Microsoft Outlook.
  • Email support using POP3 addresses and SMTP addresses allowing emails to be sent without going through a local email program like Outlook.
  • Change the state of hotel rooms, i.e. vacant, dirty, un-available.
  • Check-in and check-out customers.
  • Search for customers who have previously stayed in the hotel.
  • Display room availability online and allow customers to create bookings (Internet Booking Service Add-on).

 

Reports

  • Print various hotel reports including, payments, room status, customer loyalty, guest arrivals, accounting reports.
  • Import/Export of customer details and reports into CSV format. Opens in Microsoft Excel.
  • Ability to send booking information, maintenance schedule and venue bookings to Microsoft Excel.

 

Accessibility

  • Help available on all forms by pressing the help button.
  • Networking facility allowing one or more copies of the hotel booking software to access a central database over a local area network (LAN).
  • Back-up facility allowing the system user to backup the database at any time.

System Configuration

When the hotel booking software is installed on your machine and used for the first time, you will need to setup the system with details related to your hotel. Details that need to be entered include, room types, rooms, seasons, room rates, email settings, invoice settings, system user accounts, hotel address and venue details such as your restaurant tables.

 

Making a Booking

Now that system is setup with details related to your hotel, you are now able to take bookings. Select booking dates, add customer details, booking information and payment details.

 

Producing Customer Invoices

Once the booking is complete you can print the customer invoice or send it via the built in email sender, transfer the invoice to Microsoft Word, Microsoft Outlook or transfer it to Open Office.

 

Bookings Calendar

From this screen it is possible to view all bookings for the hotel and their current booking state, i.e. pending, confirmed booking, un-available or completed booking. It is possible to select any date and the calendar will give details of arrivals for those dates. It is also possible to create another booking from this calendar by double clicking an available white coloured cell.

 

Customer Details and Bookings made

At any time it is possible to search for an existing customer and to view the bookings made by them. From this form you are able to view the booking details to either edit them or cancel the bookings. You can also preview or print extra customer invoices.

 

Hotel Reports

The system comes with a number of reports which will tell the user about guest arrivals, current room state, room allocation, room history, room financials etc... Some reports give an overview of the current state where as other reports can be generated by date selection.

 

 

 

Online Bookings

Allow your customers to check room availability and to make online bookings direct from your website.

We supply an Internet booking service which works with the hotel booking system. The purpose of this system is to allow your customers to check availability and book online at a time convenient to their needs.

There are no restrictions on the number of rooms that our hotel booking software can manage, but we would recommend a maximum of 55. If you would like to manage more than 55 rooms, please contact us. Below we have two product offerings, an online and offline booking system and the other is an offline booking system only.
